We are looking for your assistance for a temp with purchasing entry level experience.

JOB SUMMARY:

Employees in this class are responsible for processing a large volume of purchasing related work. Work includes compilation, maintenance and auditing of office records, invoices, purchase orders and reports. Assisting in the planning and coordinating of the purchasing materials, equipment parts and services of the office ensuring accurate and timely processing of related invoices. Work is performed under the direction of supervisor, however, independent judgment and use of acquired knowledge and skills is exercised in the performance of established procurement related tasks. Work is subject to verification by a variety of internal controls, supervisory review and periodic audits.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

Reviews, calculates, prepares, and processes requisitions and purchase orders.
Sets up new vendor accounts/services in the City of Hollywood system.
Calculates, processes, and reviews invoices and prepares adjustments if needed.
Runs and reviews various reports to identify possible errors and ensure accuracy of requisitions entered.
Maintains contract records, notifies and assists supervisor on renewal dates of contracts, and prepares quarterly contract report.
Provides monthly expenses reports by line item to supervisor.
Interacts and communicates with the immediate supervisor and manager, other City department employees, customers and general public.
Corrects invoice errors identified by staff and other reviewers.
Recommends improvements to the current processes, policies and procedures.
Effectively and positively represents the City in delivering and performing work with colleagues and clients, irrespective of gender, race, religion, age, disability, political affiliation or belief, or sexual orientation.
Establish and maintain effective and professional relationships with work colleagues, supervisors and managers.

EDUCATION/EXPERIENCE:

High School Diploma or GED equivalent supplemented by two (2) years of experience in administrative support, billing or a related field.

Associate’s Degree from an accredited college or university in business, accounting or related appropriate discipline.

Additional education and experience or an equivalent combination of training and experience may be substituted for the above requirements.

Knowledge, Skills and Abilities:

Knowledge of the principles and practices of accounting, billing and procurement.
Knowledge of office practices and procedures.
Ability to use Microsoft Excel to perform various analyses and manual billings
Ability to make arithmetical calculations rapidly and accurately.
Ability to maintain supporting records, assemble and organize data in an automated data processing environment.
Ability to express ideas clearly and concisely, orally and in writing and to glean necessary information from written material.
Ability to establish and maintain effective and professional relationships with work colleagues, supervisors, managers and the public.
Skill in developing, implementing, and modifying work plans as needed.
Skill in researching, compiling and summarizing a variety of information and statistical data and materials.
Skill in establishing and maintaining files and record keeping systems.
Skill in the use of modern office equipment and software to include databases, spreadsheets, word processing, and forms management systems as well as working with internet browsers and web searching.
Skill in using a computer terminal to accurately and rapidly enter and retrieve data and information.

Monday - Thursday from 7:00am to 6:00pm
